Banner Time Entry FAQs

Student Employees

  • Will I receive a confirmation e-mail when my time sheet is approved and forwarded to payroll?

No. Students will need to log into Banner to view their timesheet status.

  • I use a time clock that calculates time worked to the minute. How do I enter this information into Banner?

Use the minute-to-decimal conversion chart to calculate your hours.

  • I missed the deadline to submit my time sheet! Now what?

E-mail stupay@louisiana.edu to notify them that you missed the submission deadline. They will assist you with submitting an adjustment.

Supervisors

  • How do I add or remove a student employee from my web time entry approval screen?

You must fill out a Personnel Action Form (PAF) to add or remove student employees. The PAF replaces the paper "black and whites" that were previously used.

  • Do I have to fill out a Personnel Action Form for each student every year?

Yes, you will need to do a separate PAF each student every year, including student workers who are already working in your department.

  • What happens if a student gets a raise during the employment period?

You will need to submit a new Personnel Action Form with the new pay rate.

  • I missed the deadline to approve my student worker's time sheet! Now what?

  • I need to approve time sheets but when I try to access the time sheets, I get a message that I have to records at this time.

Please contact the helpdesk to verify that you are set up as an approver in Banner. You may need to submit a Banner access request if you are not already set up as an approver in the system.

  • I see Casual Labor workers in my list of Student Employees. Should I approve time for Casual Labor?

No. Casual labor should not appear on the approval screen. Contact Human Resources and provide the worker's name and ULID to request they be removed from your list of time-entry employees.

  • I see students that work for my department but I don't supervise them. Can they be removed from my list?

You may see student employees in your "Not Started" section if they share an Organization number with your own student employees. They can't be removed from your screen, but you won't see them in your pending list to approve.

  •  I recently changed positions but I still see old student employees/ don't have access to current employees.

  • I see "9999 Paperless" under Department and Description on my Approver Selection screen.

Contact Human Resources and notify them that you need the "9999 Paperless" category removed.

  • My student's pay is partly funded by Federal workstudy and partly funded by a grant/ departmental funds/ other funding source. How do we set up the percentages?

The percentages of the student's pay should be described in the Labor Distribution section of the Personnel Action Form.

  • I set up a proxy but I don't see that person's name on the drop down list when I click on Act As Proxy.

You will only see the names of people who have added you to their Proxy list. That means you are authorized to see that person's employees. You will not see the name of your dedicated proxy on that list. To view your proxies, click the Proxy set up link.
